RESPONSIBILITIES

1.To ensure that customer satisfaction is maintained at the highest level by providing a high quality and pro-active service in the client's facility.
2.To ensure effective communication with client, peers, building tenants and management at all times.
3.Welcome, manage and coordinate visitors to the office - employees from other offices, contractors, and guests. Ensure visitors/calls are dealt with in a welcoming, courteous and professional manner, seeking to anticipate their needs where possible.
4.Telephone call management
5.Assist local FM with management and coordination of Facilities-related contractors and vendors
6.Book, monitor and prepare meeting facilities and related hospitality requirements
7.Process and invoices, Purchase Orders and Accounts Payable queries
8.Manage the storage and distribution of deliveries, mail, consumables and archiving
9.Assist Real Estate team with coordination of landlord and local government/municipality activities and payments
10.Maintain front-of-house area to a high standard

6.Able to manage criticism and complaints graciously, working with the client and Central Management Team to rectify any problems.
7.Able to recognise when customer behaviour becomes unacceptable and how to manage such situations.



EXPERIENCE AND QUALIFICATIONS

1.Essential experience:
a.Working in a corporate office environment; commitment to a team culture and a service delivery approach
b.Evidence of excellent customer service delivery
c.Working in a customer/client-facing role
d.Demonstrable experience working in a PO-invoice lifecycle

2.Preferred experience:
a.Familiarity with Oracle purchase/finance systems
b.Familiarity with Priority or other Purchase To Payment system
c.Working in a Receptionist or Switchboard role
