We are looking for an Office Manager that can help us take our offices to the next level. Whether it's preparing for all company meetings, ordering catering, or just ensuring that everyone gets what they need, you're on it!
You thrive in the world of office management, employee events, and facilities (the good, the bad and the ugly) and the excitement that a startup brings. You can readily adapt to any situation and are excited to roll-up your sleeves and create something new. You aren't above doing the little things, but you're ready to tackle the big jobs, too. You are excited to learn and grow with a company. You live for jam-packed days, but always have time to support a team member. Oh, and having fun is a must!
*Greet visitors, give office tours, assist with new hire preparations
*Maintain a sleek and organized office
*Order catering and snacks, beverages, kitchen and office supplies - The printer is never without paper or ink when you are around
*Receive and distribute mail and deliveries
*Arrange meals for business meetings as needed
*Arrange staff meetings on and off-site as needed, apprising meeting members of meeting arrangements/details
*Assist with employee events and celebrations - You never forget a birthday or work anniversary and you have a drawer full of confetti just in case!
*Set-up/take-down common areas for special events
*Vendor management - maintain strong relationships with all our vendors
*Assist Recruiting with scheduling interviews as needed
*Build and nurture relationships with local universities in Dublin by scheduling, coordinating, and attending local, regional student recruitment events in-person or virtually including but not limited to college fairs, community college transfer fairs, conferences, and campus open houses.
*Manage candidate experience during on-site interviews - You are always ready to jump in with a story or a snack to make them feel comfortable
*Assist with monthly New Employee Orientations
*Prepare and send domestic and international documents and packages via USPS, UPS, and FedEx; approve shipping invoices, maintain log of USPS shipments
*Manage travel and expenses for executives
*Maintain our employee travel discount information
*Assist executives with projects
*Assist people operations (HR) with projects
*Minimum of 1+ year of experience as a receptionist or administrative assistant
*Bachelor's Degree preferred
*An extremely high sense of urgency and ability to work in fast-paced, ever-changing environment
*Enjoy being social and can talk to anyone from a board member to the FedEx delivery person
*High degree of organization and responsiveness required - you are great at juggling many projects because you have a great system to track every detail
*An outstanding focus on achieving a high level of customer service and organization
*PC/Mac literate a plus
*Strong MS Office and Gmail skills
*Demonstrate the ability to handle multiple tasks with little or no supervision
*Ability to interface well with all departments within the company and to represent the respective executive officer in a highly professional manner
*Demonstrate the ability to communicate effectively and professionally with customers and external contacts to the company
*Start-up experience a plus
